Practical guidance for getting a clean conversion, and what to do when you do not.
Converting a PDF statement
- Open the PDF to Excel tool.
- Drop the file onto the upload area, or use Browse files. You can select several PDFs to merge them into one sheet.
- Click Convert to Excel and wait for processing to finish.
- Download the spreadsheet from the results page.
Converting photographed or scanned pages
- Open the Image to Excel tool.
- Select every page of the statement at once, in page order - order matters, because the columns detected on the first page guide later pages.
- Click Convert to Excel. Recognition takes longer than a PDF, so allow a little more time.
- Check the results page for any note about pages that needed extra care, then download.
Getting the best possible accuracy
Quality of input dominates everything else. In rough order of impact:
- Use the original digital PDF whenever one exists - it needs no OCR at all and is by far the most accurate route.
- If scanning, use 300 DPI or higher, flat on the glass.
- If photographing, shoot straight down rather than at an angle, fill the frame with the page, avoid shadow and glare, and use the highest resolution your camera offers.
- Flatten folds and creases before scanning - a fold running through a row of figures reliably breaks that row.
- Put the page on a plain background. A patterned surface behind a page confuses recognition.
Troubleshooting: no table detected
The converter locates your table by finding its header row. If it reports no table, the header text was too degraded to recognise. Re-scan or re-photograph the page at higher resolution, straight-on, in even light. If a digital PDF of the same statement exists, use it instead.
Troubleshooting: columns shifted or merged
Usually caused by a skewed page, which makes column positions inconsistent from row to row. Re-capture the page square to the camera. If the misalignment affects only a few rows, correcting them by hand in Excel is often quicker than re-scanning.
Troubleshooting: only the first page converted properly
Check that you selected the pages in order, first page first. The layout detected on the first page carries forward to pages that do not reprint their headers, so an out-of-order first page throws off the rest.
Troubleshooting: file will not upload
Confirm the file is under 25 MB and is one of the supported types. The PDF tool accepts PDFs only; images belong in the Image to Excel tool.
